Managing many websites

Add, switch and remove websites, give each its own search region, then run them together: one overview of every site, a daily digest and Slack messages.

One Zivooo account can hold as many websites as you need, whether they are your clients' sites, your own products or several brands. Each website runs on its own, with its own brand knowledge, content plan, tracking, publishing and search region, and all of them share your account, your keys and your team. This guide walks you through setting them up and then keeping up with all of them at once.

Add a website

Every website takes one domain on your plan. The free 14-day trial covers one website; for more, subscribe on Settings → Billing at $10 a domain a month or $110 a year. Billing explains how domains are charged.

  1. 1Open Setup → Domains and click Add a new website. You can also open the site menu at the top of the dashboard and click Add new website at the bottom of the list.
  2. 2If every domain you pay for is in use, Zivooo offers to add one first. Account owners on a subscription can click Add a domain: your card is charged now for the rest of the billing period, prorated. During the trial, Go to Billing takes you to subscribe.
  3. 3Enter the Brand name, the Website, the kind of business and a few Competitors or similar websites.
  4. 4Pick the Search region: the country this website's buyers search from. It's suggested from the website's ending (for example .co.uk or .com.au), and you can pick any other.
  5. 5Click Save brand knowledge. Zivooo studies the new website and its competitors, which typically costs up to about $0.50 on your keys (the form shows it before you save). The website appears in your site menu once it's ready.

Only the account owner and admins can add websites. Team and access explains roles and which websites each person can open.

When you have more websites than domains

Websites take your domains oldest first. If you have more live websites than domains, for example after lowering the number of domains, the newest websites over the count pause. On Setup → Domains each one says Paused: over your domains.

  • A paused website starts nothing new: no articles, tracking, audits or reports. Everything stays readable and articles already on the website stay there.
  • To start it again, add a domain on Settings → Billing, or remove another website to free its domain.
  • If the trial ends without a subscription, or a subscription ends, every website pauses until you subscribe. See Billing.

Each domain also has its own monthly fair use caps, so one busy website never holds up the others. See Fair use.

Remove or restore a website

  1. 1On Setup → Domains, click the bin icon on the website's row.
  2. 2Read what stops and click Remove.
  • What stops: everything for that website, so no new articles, publishing, tracking, audits or reports.
  • What's kept: its content plan, articles and data. Articles already published on the website stay there.
  • Its domain is freed for another website at no charge.
  • Restore: removed websites are listed under Removed on the same page. Click Restore and it picks up where it left off. Restoring takes a domain again, so you may need a free one first.

Only the account owner can remove or restore a website.

Switch between websites

The site menu at the top of the dashboard shows the website you're working on. Click it to see Your websites and pick another; every page then shows that website. Overview of your domains at the top of the menu opens the overview of all of them (below).

A website still being set up, or whose setup failed, may not be in the menu yet. Open it from Setup → Domains with the Open button on its row.

Choose a search region

Each website has a search region: the country its buyers search from. Keyword research, Google results, AI answers, rank tracking and AI visibility all come from that country, and articles are written in its English (British, Canadian or American spelling). ChatGPT prompt research is the one exception: ChatGPT's prompt data covers American users only, so every region sees those prompts. There are 27 regions to choose from, every country where people search in English that we have data for.

  • 5 with the most data: United States, United Kingdom, Canada, Australia and India.
  • 22 with less search data: Ireland, New Zealand, South Africa, Singapore, Philippines, Malaysia, Nigeria, Kenya, Ghana, Pakistan, Malta, Hong Kong, United Arab Emirates, Sri Lanka, Cyprus, Greece, Egypt, Myanmar (Burma), Saudi Arabia, Indonesia, Vietnam and Cambodia. Research there shows a note that volumes are low, so many keywords and prompts show small numbers or none. Pick them by how well they fit your buyers as much as by their volume.
  1. 1You pick the region when you add the website (Search region).
  2. 2To change it later, open the website, go to Setup → Brand Knowledge, choose a new country under Search Region and save.
Note

A change of region applies to new work only. Articles already researched or being written keep their country. Keywords you already track keep theirs, and new ones use the new region. Domain Rankings never compares weeks from two regions: until its next weekly update, it says the rankings shown are from the old country.

See all your sites at once

Click the site menu at the top of the dashboard and choose Overview of your domains. Each website gets one row with three statuses, websites with something stopped first:

ColumnWhat it covers
ContentThe content engine: whether articles are being written and published on schedule.
TrackingRank tracking and AI visibility: whether your tracked keywords and prompts are being checked on time.
MeasurementSearch Console: whether it's connected and syncing your clicks and impressions.
StatusWhat it means
RunningWorking as it should.
StoppedIt needs you before it works again. For content: setup isn't finished, brand knowledge hasn't been added, topics are waiting for your pick, the website is paused (billing, domains, keys or a fair use cap), we can't reach it to publish, there's no content plan, the plan is waiting for approval, or nothing is scheduled for the next 14 days (longer on a slower publishing schedule). For tracking: checks are waiting for your keys or billing, or are behind schedule. For measurement: Search Console was disconnected, no property is chosen, its sync is failing, or it hasn't synced for 3 days.
PausedThe content plan is paused.
Setting upIt's still being built, or the first sync is on its way.
Not set upNothing is tracked yet, or Search Console isn't connected.

Hover over a status to see why. Click Open on a row to switch to that website; its dashboard shows what to do next.

The daily digest

Instead of an email for every draft on every website, the daily digest sends one email a day across your websites: drafts waiting, what went live, what failed and what dropped.

  • Who gets it: anyone who can open a live website, the owner and teammates alike. Each person's digest covers the websites they can open.
  • When: around 16:50 UTC, and only on days with something new. A quiet day sends nothing.
  • On by default. Turn it off or on with the Daily digest switch under Notifications on Settings → Branding. Each person has their own switch.
  • While the owner gets the digest, their separate Draft ready emails fold into it, so they don't get both.

Slack messages

Zivooo can post a short message with a link in one Slack channel when something happens on any of your websites. The account owner turns it on under Notifications on Settings → Branding. It sends every event:

EventWhen it's sent
Draft ready for reviewA draft waits for someone to review it.
Article publishedAn article went live on the website.
Publishing failedAn article couldn't be published after every retry.
Report readyA weekly report or monthly progress report is ready.
Key stopped workingA provider refused one of the account's keys; work is paused.
Near a fair use limitA website used 80% of a monthly fair use limit.
Ranking droppedA tracked keyword fell 5 or more places in a day, or out of the top 100.
AI visibility droppedA website's AI visibility fell 10 or more points against its previous scans.

To connect Slack you need an incoming webhook: a web address Slack gives you that posts into one channel.

  1. 1Go to api.slack.com/apps, signed in to your Slack workspace, and click Create New App.
  2. 2Choose From scratch, name it Zivooo, pick your workspace and click Create App.
  3. 3In the app's menu, open Incoming Webhooks and switch Activate Incoming Webhooks on.
  4. 4Click Add New Webhook at the bottom of the page, pick the channel the messages should go to and click Allow. If your workspace needs an admin's approval for new apps, ask them to approve it.
  5. 5Copy the Webhook URL. It starts with https://hooks.slack.com/services/.
  6. 6In Zivooo, open Settings → Branding, turn on the Slack switch under Notifications, paste the URL and click Connect.
  7. 7Click Send a test to check that a message arrives in the channel.

If Slack stops accepting messages, Zivooo keeps retrying and shows that it's failing. After 3 days of failures it turns Slack off and emails the owner once; turn it on again and connect the URL to retry. To stop the messages, turn the switch off.

Note

Developers can get the same events as signed JSON in their own systems with the Event webhook switch under Notifications. See Event webhook.

Questions

Do I need separate keys for each website?

No. One set of keys covers every website in your account, and the Billing page shows what each website spent on them. See Set up your keys.

Can a teammate see only some websites?

Yes. The owner chooses a role and the websites each teammate can open. See Team and access.

Does changing a website's region change articles already written?

No. A change applies only to new work, and articles already researched keep their country.
