Working with clients
Put your own brand on what clients see, share live reports and email them to clients, and send prospects domain reports and proposals, all without giving anyone an account.
Zivooo is built for agencies and freelancers running several client websites. Everything in this guide sends something to people outside your team: a page they open with a link, or an email. Setting up websites and reviewing articles happen in your dashboard. None of it needs the client to sign up, and none of it shows them your costs, your keys, your dashboard or your other websites.
Still winning the client? Start with a domain report and proposal. Once they sign, add their website as described in Managing many websites, then come back here.
Before you start
- Set up your brand first. Shared pages and client emails use it from the moment you save it.
- Pick the right website. Shared reports and report recipients belong to one website. Choose it in the site menu at the top of the dashboard before you start.
- Know who can do it. Your brand is yours alone as the account owner. Most of the rest needs an admin. See Who can do what.
Your brand
Your brand is what clients and prospects see on the reports, domain reports and proposals you share, and on the report emails we send them for you. Emails to you and your team keep the Zivooo look. Nothing a client sees carries a Zivooo mark.
- 1Open Settings → Branding.
- 2In Brand identity, type your Brand name (your agency or company, up to 80 characters). It shows at the top of shared pages when there's no logo, and as the sender name on client emails.
- 3Pick a Brand color with the swatch, or type it as a hex code like
#1f6feb. It colors the line across the top and the buttons on shared pages and client emails. Reset goes back to a plain dark look. Click Save identity. - 4Click Upload logo and pick a PNG, JPG or WebP file of up to 1 MB. It's shown at most 160 by 48 pixels, in place of the name, so a wide logo reads best. Use Replace logo or Remove to change it later. The logo saves as soon as it uploads.
- 5In Contact details, enter a Reply-to email. When a client replies to a report email, the reply reaches this address, and every page a client opens shows it as Questions? at the bottom.
- 6Add your Business address (up to 300 characters). It shows at the bottom of shared pages and client emails. Click Save contact details.
Client emails come from our sending address, with your brand name as the sender and your reply-to email as the reply address. That way they arrive reliably without you setting anything up on your own domain.
With nothing set, shared pages and client emails use a plain, neutral look with no logo, and shared pages show only the website's domain at the top.
The client flows
Each flow has its own step by step tutorial: how to set it up, what your client sees, and what you see afterwards.
| Flow | What it does | Tutorial |
|---|---|---|
| Client reports | A live page with a website's latest weekly or monthly results, and the same reports emailed to your client. | Client reports |
| Domain reports and proposals | Size up a prospect's website and send them a proposal with your own price. | Domain reports |
Every page a client opens carries your brand: your logo or name at the top, your color, and at the bottom Prepared by your brand name, Questions? with your reply-to email, and your business address. Views on shared links count only people outside your account, never you, a teammate or a chat app's link preview.
Shared report links
A share link is a web page that always shows a website's latest weekly report or monthly progress, in your brand. Make one on Weekly Reports in the Share with clients card. The full walkthrough is in Client reports.
Report recipients
Up to 10 people per website who get the weekly and monthly reports by email, in your brand, each with their own unsubscribe link. Add them on Weekly Reports. See Client reports.
Who can do what
| Action | Who can do it |
|---|---|
| Your brand | The account owner. Teammates can see it. |
| Shared report links and report recipients | Admins and the owner |
| Review settings | Admins and the owner |
| Domain report share links and proposals | Admins and the owner |
Each teammate can only do these on the websites they have access to. Roles and website access are explained in Team.
Questions
Does my client need a Zivooo account?
No. Shared reports, domain reports and proposals open with the link alone, and report emails need nothing but an email address.
Can a client see my costs or my other clients?
No. Every page and email a client gets shows only the one website it was made for, and never a cost, a key or a link into your dashboard.
Will search engines find a shared page?
No. Shared pages ask search engines not to index them, and the link is long and random. Anyone holding it can open it, though, so turn it off when a client relationship ends.
Do client emails cost anything?
No. Shared links and report emails don't run on your keys and don't count toward fair use.
