Team and access
Invite colleagues, writers or clients to your account, make each one an admin, an editor or a viewer, and choose which websites they can open.
Everyone on your team gets their own login and works inside your account, on your websites and your keys. You decide what each person can do (their role) and which websites they can open. You can add up to 50 people, and there are no seat fees.
The person who created the account is its owner. Only the owner invites and removes people, changes their access, manages the keys and billing, removes websites and sets up Your brand.
Invite teammates
- 1Go to Settings → Account and scroll to the Invite your team card.
- 2Click Invite teammates.
- 3Under Email addresses, type one or more addresses, separated by commas.
- 4Under Role, pick Admin, Editor or Viewer (see Roles below). Everyone in one invite gets the same role.
- 5Click Send invites.
Each person appears on the card with an Invited label and the date their link expires. New teammates join on every website; you can narrow that from Edit access on their row, even before they accept.
If an address can't be invited, it stays in the box with the reason, so you can fix a typo and send again. An address is refused when:
- It isn't a valid email address.
- It's your own (the owner's) address.
- It already has its own Zivooo account. One email is one login, so invite a different address for that person.
- That person has already joined your team, or is on another account's team. (Inviting someone whose invite is still open just sends them a fresh link.)
The team counts open invites as well as people who joined, so up to 50 in all. When the team is full, Invite teammates no longer shows.
What your teammate does
- 1They get an email saying you invited them, with their role, the websites they'll open and an Accept the invite button.
- 2The link opens a Join page showing your company and their email. They enter Your name and a Password, then click Join the team. They don't sign up separately or add a card.
- 3They're signed in and land on the dashboard, on the websites you gave them. Next time they log in at the normal login page with that email and password.
The link works for 7 days and only once. An expired link says so and asks them to request a new one. If they sign up for their own Zivooo account with the same email instead, your invite is dropped and leaves your Team list.
Roles
Each teammate is an admin, an editor or a viewer. The owner can do everything.
| Viewer | Editor | Admin | Owner | |
|---|---|---|---|---|
| See everything on their websites (articles, reports, rankings, AI visibility, audits) | Yes | Yes | Yes | Yes |
| Write, edit, approve and rewrite articles; the Write page | No | Yes | Yes | Yes |
| Research keywords and prompts, page audits, Site Health, Brand Truth, link research, domain reports | No | Yes | Yes | Yes |
| Add and edit tracked keywords and AI prompts (Tracking) | No | Yes | Yes | Yes |
| Website settings: Brand Knowledge, Search Console, Crawl Log, Publishing, schedule and review settings | No | No | Yes | Yes |
| Anything sent to people outside: shared reports, report recipients, proposals | No | No | Yes | Yes |
| Add websites on the Domains page | No | No | Yes | Yes |
| See Billing: spend on the keys and cost per website | No | No | With every website | Yes |
| Keys, the subscription, lifetime codes, the team, removing websites, Your brand, deleting the account | No | No | No | Yes |
- Admin: everything on their websites, settings included. Billing, keys and the team stay with you.
- Editor: works on content, research and audits on their websites. No settings.
- Viewer: reads everything on their websites. Changes nothing. The article editor opens read only for them.
All work a teammate starts runs on the account's keys, with the same cost shown before it starts as for you, and counts toward each website's fair use limits.
Website access
Each teammate either opens every website on the account or only some:
| Access | What it means |
|---|---|
| Every website, including ones added later | They see all your websites, and new ones as you add them. |
| Only these websites | They see only the websites you tick. A website added later isn't on their list until you add it (a website they add themselves joins their list). |
A teammate's site menu at the top of the dashboard, the Domains page and Overview of your domains list only their websites; the rest of the account stays out of sight. Billing covers the whole account, so even an admin opens it only with access to every website.
Change someone's access
- 1On the Team card, find the person and click the Edit access button (the sliders icon) on their row.
- 2In What can (name) do?, pick a Role.
- 3Under Websites, choose Every website, including ones added later, or Only these websites and tick at least one.
- 4Click Save access.
It applies the next time they open a page. Each row shows the person's role and how many websites they can open.
Resend or cancel an invite
- Resend invite (the arrow icon on an invited row) emails a fresh link that works for another 7 days. The old link stops working.
- Cancel invite (the trash icon on an invited row), then Cancel invite in the dialog, stops the link working and takes them off the list. Keep invite closes the dialog without changes.
Remove a teammate
- 1On the Team card, click Remove (the trash icon) on their row.
- 2Click Remove in the dialog.
They lose access within a few minutes. Everything they made on the account stays. Any MCP keys and connected apps they set up stop working at the same time. A teammate can also leave on their own with Leave team on their Account page, which signs them out; you can invite them again later.
What teammates see
- Pages their role can't use are hidden from their menu. Opening one by its address takes them to their Account page, where their role is explained.
- Buttons that start work are blocked for a role that can't do it, with a short note saying why (for example, "Your role can't do this. Ask the account owner if you need it.").
- Settings → Account shows each key's state but not its controls, the account's email settings read only, their own password, and a Your team card with their role and the team list.
- Branding shows Your brand read only. Slack and the event webhook stay with you. Each person turns their own daily digest on or off.
MCP for teammates
Teammates can connect an AI assistant to Zivooo from Setup MCP, with their own key or app. It reads as them: only the websites on their list, and account-wide usage only for an admin with every website. Each person sees and revokes only their own keys. A change to their access applies at the assistant's next request, and removing them revokes their keys and apps. See MCP.
Questions
Do teammates cost anything?
No. There are no seat fees, up to 50 people. You pay only for your websites (Billing), and the work they start runs on your keys.
Can a teammate add a website?
Admins can, from the Domains page, when the account has a free domain. Paying for more domains and removing websites stay with the owner.
Can I invite a client?
Yes. A viewer on only their website can read everything without changing anything. To share reports with a client without a login, see Client reports.
Can someone be on two teams?
No. One email is one login, on one account. Use a different address for each.
